Production planning and itineraries

Essential, Advanced and Integral plans

The production schedule to see what is made each day, how to change the planning of an order, and itineraries for chain production.

What it is for

Planning means deciding in advance what will be produced each day, how much and by whom. In Recipok you do it by creating production orders with their date and time, and you see them laid out in the Production schedule. That way the production team knows what’s next and you can spot at a glance what’s running late.

When a product contains several semi-finished products (base, filling, topping), itineraries create the whole chain of orders in one go, in phases and with their lots linked. They’re used by the production manager and the bakery owner.

Before you start

  • Have your recipes created and, if you use semi-finished products, make sure they’re included in the final recipe as ingredients (see Semi-finished products and nested recipes).
  • Itineraries are for the administrator and the manager.
  • If you want your own lot prefix for itinerary orders, set it in Configuration › General Data › Automatic lot configuration (Itinerary). Otherwise, the same prefix and sequence as regular orders are used.

The production schedule

Go to Production orders › Production planning. The weekly view of the current week opens; you can switch to the monthly view and move forwards or backwards. Each order appears at its time, with the recipe name and its lot, coloured by status: Pending, In production, Finished or Cancelled. Clicking it opens the order in another tab.

Change an order’s schedule

In All production orders, open the order’s More actions and click Edit schedule. You can change the Planned date, the Quantity and the Person in charge, or leave it Unassigned. Click Save: the schedule and the shopping list are updated.

Itineraries: chain production

An itinerary groups all the orders needed for a production with semi-finished products, arranged in phases: first the biscuit base, then the cheesecake. Go to Production orders › Itineraries and click Create itinerary. The wizard has four steps:

1

Select products to produce

Tick orders you’ve already created or search for recipes to add them, with their quantity, date and time. You can apply the same date and time to all of them.

2

Dependency tree and quantities

Recipok detects the semi-finished products and works out how much of each is needed. The default value is the total needed minus current stock; adjust it if you like.

3

Dates and times per phase

Set when each phase starts. Recipok checks that the order is chronological.

Summary

Check and confirm. Each order is linked to the next one through its source lot, so the traceability of the whole chain is done.

In the list you see each itinerary as Pending, Active, Completed or Cancelled. Inside each one there are three tabs:

  • Phases and orders: the orders in each phase, to open and produce them one by one.
  • Required items: ingredients and semi-finished products with current stock, the quantity required and the difference. Handy for preparing your purchase order.
  • Bulk production: finishes all the pending orders in a phase at once, after checking the lot and quantity of each one. If any order has unanswered process checks, they must be completed first.

You can also Export PDF of the itinerary, Export Excel of the list and Duplicate an itinerary: you change the quantities of the final products and the earlier phases are recalculated automatically.

Tips

Tip

Plan the week on Friday and check the shopping list before placing your orders. If you work to customer orders, also look at the order calendar and the use case Weekly production.

Important

Bulk production finishes the orders and generates the stock. Use it when the phase is really finished and the lots have been checked.

Frequently asked questions

Does the production employee see the whole schedule?
No. A production employee only sees their own orders in the schedule. The administrator and the manager see those of the whole bakery.
Can I change the date of an order from the schedule?
The schedule is for viewing only: clicking an order opens it in another tab. To change the date, quantity or person in charge, use Edit schedule in the All production orders list.
Are there recurring orders that create themselves every week?
No. To repeat a production, duplicate the orders in the list or duplicate an itinerary with Duplicate, adjusting the quantities and the start date.
Why plan if I end up producing anyway?
Planned orders are the ones the shopping list reads to work out what you’re missing. If you create them in advance, Recipok tells you what to order in time.
