Shopping list and order recommendation
Integral plan
Work out what to buy from planned production and stock, and create the orders for each supplier in two clicks.
What it is for
Knowing what to buy each week usually means looking in the cold room, going over what needs to be produced and doing the maths. Recipok does that maths for you from the planned production orders and the stock by lot.
You have two tools: the shopping list, which adds up the ingredients of the production orders you choose, and the order recommendation, which also deducts what you already have, keeps an eye on critical stock and prepares the orders for each supplier in two clicks.
They are used by the production manager or whoever does the purchasing, usually once or twice a week.
Before you start
- Both tools are included in the Integral plan and are visible to managers and administrators.
- Production orders with a date: anything not planned is not taken into account. See Production planning.
- Up-to-date stock: if you do not record goods-in, Recipok will think you have less than you do. See Raw material goods-in.
- Critical stock and supplier on each ingredient's record. The first supplier on the list is the main one, and the order goes to them.
The shopping list
Go to Production orders › Shopping list. The screen is called Shopping list of the pending tasks.
Filter the production orders
Choose the range with Date (from) and Date (to), the Status of the orders (for example, only pending ones) and, if you like, a Supplier. Show PO list shows you which production orders go into the calculation.
Check the table
Each ingredient appears once, with its supplier, format, price, the Current stock and the Amount to buy, which is what the filtered orders add up to. Compare the two columns to decide.
Print or order
Print produces the list as a PDF to take to the stores or the market. Create order to suppliers builds the orders with those quantities (up to 80 ingredients per order).
Above the list you will see a notice with the View recommendation button. If you would rather Recipok subtracted the stock for you, go straight to the recommendation.
The order recommendation
Go to Purchasing › Order recommendation: “Suggestion of what to order based on available stock and planned production”. It does not save anything: it is calculated every time you open it.

- 1The horizon: how many days of planned production you want to cover.
- 2The quantity to order can be changed before you create the order.
- 3Whatever is already ordered appears unticked, so you do not order it twice.
Choose the horizon
7 days, 15 days or 30 days. The cards at the top summarise Ingredients to order, Suppliers involved, Estimated cost and the Active horizon.
Check each supplier
Each block shows the Production need, what is Available in stock and the Quantity to order. As well as what is missing for production, ingredients at Critical or Almost critical stock are included even if they are not on any production order. Ingredients without a supplier appear in a separate block, “Without supplier”.
Create the orders
Tick or untick lines and click Create order on one supplier or Create orders for all suppliers. Confirm with Confirm and create order.
Send them
The orders are left pending to send in Purchasing › Orders. Send them from there: we explain how in Purchase orders.
Tips
- Plan before you order: the recommendation is only as good as your planning. If the weekend's production orders have not been created, nothing will be ordered for them.
- Set the critical stock for the basics (flour, sugar, butter) so you never run out, even when there are no production orders.
- If a quantity looks excessive, check that ingredient's stock: a negative stock or an unrecorded goods-in throws the calculation off.
