Operator QR badge and multi-employee mode

Essential, Advanced and Integral plans

How to identify each operator at a shared workstation: the QR badge scanned on the board, and multi-employee mode.

What it is for

In many bakeries there’s a single computer or tablet for the whole team. If everyone works in the same session, nobody knows who weighed each ingredient or who finished each process. The operator QR badge solves that: each person scans their badge on the board and their work is recorded in their name, without closing or switching the logged-in session.

Multi-employee mode is the other way of sharing a device: it hides the management menus so the workstation can only be used for day-to-day work. They’re set up by the manager or the administrator and used by the operators.

Before you start

  • Each operator must be a user of your company (see Users and roles).
  • To scan, you can use the same barcode scanner you use for production orders or the device’s camera. Have a printer ready for the badges.
  • Generating, printing and cancelling badges is a job for the manager or the administrator.

Generate and print the badges

1

Open the board settings

In Production orders › Active production orders, click Operator badge · Paired displays.

2

Generate each person’s badge

The Operator badge block lists your company’s users. Next to each one, click Generate QR badge. You’ll see the Issued on date.

3

Print and laminate

Click Print badge. If one is lost or damaged, Regenerate badge creates a new one and the previous one stops working; Cancel badge deactivates it without creating another.

4

Test the scanner

In Test the scanner, click in the box and scan a badge. It tells you whether it’s a Badge recognised, whether it’s an ingredient or recipe label instead of a badge, or whether the scanner types some symbols wrongly because it’s set to a different keyboard layout.

Start production
Lucía has scanned her badge on the production floor tablet.
  1. 1Operator mode: the weighings and processes she moves forward are signed by Lucía. The tablet’s session doesn’t change.

Use the badge at the workstation

  • With the board open, the operator scans their badge at any time (the board shows “Scan your badge to start”). Operator mode active appears with their name and the board shows them their orders.
  • From then on, their weighings and the processes they move forward are recorded in their name. What they’re allowed to do is still decided by the session logged in on the device.
  • To switch person, the next one scans their badge. To finish, Exit operator mode. If nobody touches the board for 15 minutes, it closes by itself.
  • If “Badge not recognised in this company” appears, the badge has been cancelled or belongs to another account.

Multi-employee mode

Designed for a shared device without badges. A manager or administrator switches it on from their user menu (top right) with Activate multi-employee mode. In this mode, the management menus (recipes, costs, purchasing, configuration) are hidden so nobody can touch them from the workstation.

In Configuration › General Data › Multi-employee setup you can tick Require passwords: then, when a task is assigned in multi-employee mode, each user’s own password is requested. To leave the mode, log out.

Tips

Tip

Pin the badges on a board next to the weighing station or give each operator a laminated one. That way the weighing deviations report will tell you who weighed each ingredient.

Important

If someone leaves the company, cancel their badge the same day. See also the active production orders board.

Frequently asked questions

Does the badge give access to Recipok if someone finds it?
No. The badge only says who is working on the board of a session that’s already open in your company. It can’t be used to log in and grants no permissions. If one is lost, click Regenerate badge or Cancel badge and the old one stops working.
How long does operator mode last?
It closes by itself after 15 minutes of inactivity and the workstation goes back to the logged-in session. You can also close it with Exit operator mode.
I scan the badge and nothing happens
Check that the cursor isn’t inside a text field and use Test the scanner in the board settings: it tells you whether the scanner reads the badge correctly or is set to a different keyboard layout.
Badge or multi-employee mode?
The badge is the recommended option for the production board: each operator identifies themselves in a second and signs off weighings and processes. Multi-employee mode is the classic option for a shared device without badges.
