Purchase formats and sales formats of an ingredient

All plans

Define the packs you buy an ingredient in and the presentations you sell it in, with their retail price, wholesale price and price-list price.

What it is for

The same ingredient can reach you in several packs and, if you resell it, go out in several presentations. Formats cover both without duplicating ingredients: purchase formats describe how the supplier sells it to you and sales formats how you sell it, each with its own price.

Purchase formats are needed by whoever buys and receives goods. Sales formats, by whoever sells resale products in the shop or to other businesses: a bar of chocolate, a jar of jam from another bakery, flour in 1 kg bags.

Before you start

  • The ingredient must have the correct Measurement unit, Price and main Format: see The ingredient sheet.
  • To sell at different prices depending on the customer, create your price lists first.
  • Sales formats and price lists are included in the Integral plan.

Purchase formats

On the ingredient sheet, Purchase formats tab. The main pack is the one you entered under Format on the first tab. Here you add the others:

1

Fill in the pack details

Barcode number (the EAN of that pack, if it has one), Name (“Case 6 × 1 kg”), Price per kilo, litre or unit, Format (how much it contains) and Format price (what the pack costs). All except the barcode are required and must be greater than 0.

2

Click “Add format”

The format appears in the list, where you can Edit or Delete it. Save the sheet.

What are they for? When Recipok reads a delivery note or an invoice, it recognises the pack by its code or name and converts the cases into kilos. If a new pack appears on a document, you can create it right there with Create format. They can also be loaded in bulk with the Formats column of the import.

Sales formats

Sales formats tab, only when editing an ingredient that has already been saved. They let you define different presentations of the same product, each with its own weight and price.

Three sales presentations of a chocolate couverture.
  1. 1Format quantity in the ingredient’s price unit: kilos, litres or units. If it is sold by units, you also enter its Weight.
  2. 2Default format: the 1 kilo, litre or unit one. It cannot be deleted, but you can Rename and Hide it.
1

Create the presentation

Type the Format name and the quantity it contains (“Format kg”, “Format lt” or “Format units”, depending on the ingredient). Click Add format.

2

Adjust the default format

If you never sell loose, hide it. If you want it to have another name (“Loose”), rename it.

Selling prices and price lists

In the Fees (Sales) tab you set the price of each sales format:

  • The product’s sales VAT %.
  • Current price: the retail price of each format.
  • Wholesale price of each format.
  • One block for each price list you have created (HORECA, Distributor…), with the price of each format on that list.

When you sell the ingredient to a customer with a price list assigned, its price is applied. More in Price lists and Selling price and margins.

Tips

Tip

Name the formats as they appear on the supplier’s delivery note (“CASE 6X1L”). That way automatic reading matches them first time.

Recipes

Your own products also have sales and production formats, from the recipe editor. We explain them in Wastage, processes and formats.

Frequently asked questions

What is the difference between a purchase format and a sales format?
The purchase format is the pack the ingredient arrives in from the supplier (25 kg sack, case of 6 × 1 l). The sales format is the presentation you sell it in (500 g bag, 100 g bar). The first are for buying and reading delivery notes; the second, for selling at a price.
Do I need to create one ingredient for each pack?
No. A single ingredient with several purchase formats. That way your recipe costs use a single price per kilo, litre or unit, and stock is added up in one place.
I can’t see the “Sales formats” or “Fees (Sales)” tabs.
They only appear when you edit an ingredient that has already been saved, and they depend on your plan: the fees tab belongs to the Integral plan. Also click Show Advanced Data on the sheet.
Where do I create price lists (HORECA, wholesale…)?
In Configuration › Sales rates. We explain it in Price lists.
