Update prices from a price list or an invoice

All plans Beta

Upload a supplier’s price list, invoice or delivery note and update your ingredient prices in one go, without booking in the goods.

What it is for

When a supplier sends you their new price list, updating the price of 40 ingredients by hand is an afternoon wasted. With the price updater you upload the price list, invoice or delivery note, Recipok reads the products and their prices, matches them with your ingredients and all you do is check and confirm.

It is used by whoever handles purchasing or costs. It is a beta feature: it works, but we keep improving it with your feedback.

Before you start

  • You need the Manager role or higher and scans available in your balance.
  • The document can be a PDF or a photo (JPG or PNG), well lit and not cropped.
  • The more complete your catalogue, the better the matching: check that your ingredients have the right format and, if you buy in several packs, their purchase formats.

Update prices step by step

Open AI price updater, in the Ingredients menu or the Purchasing menu.

1

Upload the document

Click Upload document and choose the file. It appears in the list as Unprocessed.

2

Click “Scan”

Recipok reads the document. Meanwhile you will see Processing; when it finishes, the status changes and the document is ready to process.

3

Click “Process” and check line by line

Article review and matching opens, with the document on one side and the lines read on the other. On each line check the matched Product (change it with Select product if needed), the Format and the Price / unit. Tick Ignore on the lines you don’t want to change.

NoteIf a product is not in your catalogue (“Not found in your catalogue”), you can add it right there with Create article, or create a new pack with Create format. And with View price history you compare with what you used to pay.
4

Confirm with “Process”

Recipok saves the new prices and the document changes to Processed. The names the supplier uses for each product are saved as the ingredient’s Alternative names, so next time it matches them automatically.

Checking a supplier’s price list before updating prices.
  1. 1Matching: the supplier’s name in brackets with your ingredient in front of it.
  2. 2Price per pack: Recipok divides it by the format and shows you the price per litre it will store.

The document list

Each document shows its date, supplier, status and processing date. Depending on the status you have Scan, Process, View Document and Delete. At the top you will see how many scans you have left; if you run out, you can get more from the same screen.

Tips

Important

Recipok can make mistakes when reading. Check every price before confirming: whatever you save changes the cost of all your recipes.

Tip

After updating, open Price variation with the period “Since yesterday” to see at a glance what has changed.

Frequently asked questions

How is it different from scanning a delivery note?
The updater only changes prices. It does not book in the goods, create lots or touch stock. Use it with a supplier’s annual price list or with an invoice whose goods you have already recorded. To book in what you have received, use Scan documents.
How much does it cost?
Each document you upload uses 1 scan from your balance, whether or not Recipok manages to read it. It is the same balance as the delivery note scanner. More in Document reading balance.
What happens to the cost of my recipes?
It is recalculated automatically, in the background, for every recipe that uses the ingredients whose price has changed. Each change is also stored in the ingredient’s price history.
The price list gives prices per case and I have the ingredient per kilo.
On each line, choose the format the price refers to (for example, the case of 6 × 1 kg). Recipok divides the printed price by the format and stores the price per kilo, litre or unit: you see it under “Will be stored as” before confirming.
