Document reading: included scans and extra packs
All plans
Which features use scans, how many each plan includes, how to top up with packs and when a scan is refunded.
What it is for
Recipok can read documents for you: the photo of a recipe from your notebook, a supplier’s delivery note, an ingredient’s technical sheet or the annual price list. You check what it suggests and save it, without typing line by line.
Each reading uses a scan. This article explains which features use them, how many your plan includes, how to get more and when you get a scan back. It is mostly for whoever uploads documents every day: purchasing, the office or the owner.
Which features use scans
| Feature | Where | What it uses |
|---|---|---|
| Recipe from a document | Create recipe or formula › Import with AI | 1 recipe scan per document. |
| Purchase delivery notes and invoices | Purchasing › Scan document (Integral plan) | 1 scan per document uploaded. |
| Price lists | AI price updater | 1 purchase document scan per document. |
| Ingredient technical sheet | Ingredient sheet › Attach technical sheet › Analyze with AI | 1 scan from your balance per analysis. |
| Nutrition and allergens from the name | Ingredient sheet › Fill with AI | 1 scan from your balance, only if a suggestion comes back. |
| HACCP plan suggestions | HACCP plan › Fill in with AI | 1 scan per suggestion (or per stage when suggesting hazards), unless your HACCP plan module includes them. |
| Cold Formulation | The automatic suggestion actions of the Cold Formulation module | Scans from your balance. |
The other Recipok features (order recommendation, recipe costing, labels, production orders) don’t use scans.
How many scans your plan includes
There are two types of counter:
- Monthly quota (Free, Essential and Advanced plans): a number of readings that renews every month, separate for recipes and for purchase documents.
- Scan balance: a shared pool used by technical sheet readings, Fill with AI, the HACCP plan and, on the Integral plan, also delivery notes and recipes.
| Plan | Recipes from a document | Purchase documents |
|---|---|---|
| Free | 10 a month | 5 a month (price updater) |
| Essential | 20 a month | 15 a month (price updater) |
| Advanced | 40 a month | 30 a month (price updater) |
| Integral | Scan balance shared by all readings, including the delivery note and invoice scanner, which can be topped up with packs. | |
| Document | Supplier | Status |
|---|---|---|
| delivery-note-dairy-1410.pdf | Lácteos del Valle | Processed |
| flour-photo.jpg | Harinas Ruiz | Processing |
| 2packaging-invoice.pdf | — | Unprocessed |
- 1Your balance: on plans with a monthly quota it shows as “X of Y scans this month”. With a shared balance, clicking the counter opens the purchase of more scans.
- 2An unprocessed document already has its scan paid for: starting its reading doesn’t charge another. If you delete it before it is read, you get it back.
The same counter appears in AI price updater and in the Create recipe or formula window. When you have one left you will see “1 scan left this month”, and when you run out, the message with the date they renew.
Extra scan packs
If you read a lot of documents, you can buy a monthly pack of 100 or 300 scans. When you buy it, your balance goes up to that amount for a month and renews every month for as long as you keep it. You will find it under the Get more scans button (or the + on the counter) and it is shown in the history of your Subscription.
On plans with a monthly quota, the pack starts being used once you have used up the month’s quota.
When a scan is refunded
A recipe that couldn’t be read
If Recipok can’t get the recipe out of the document, it tells you with “Your scan has been refunded.”
A delivery note that never got read
The scan is charged when the document is uploaded. It is refunded if the upload doesn’t complete or if you delete the document before it is processed. If the analysis fails before it is read, the notice tells you the scan hasn’t been used and you can run it again.
Fill with AI with no answer
It is only deducted when a suggestion comes back.
What isn’t refunded
A document that has already been read, even if the result is no use to you. Processing it again is a new reading and uses another scan. A scan from last month doesn’t go back into this month’s quota either.
Tips to avoid using more than you need
- One document per upload: the whole delivery note together, with several photos if necessary (JPG, PNG or PDF up to 10 MB; the iPhone HEIC format isn’t accepted).
- PDF is better than a photo. If you take a photo, keep it flat, well lit and free of shadows.
- For generic ingredients (flour, sugar), check the Ingredients Portal first: filling in from it doesn’t use scans.
