Stores: a sales catalogue that creates orders

Integral plan

Build a catalogue in blocks for the counter, the market or the portal, and place quick orders that turn into sales orders.

What it is for

A store is a sales catalogue arranged in blocks (pastries, cakes, savouries…) from which orders are placed in a few taps. Each store order becomes a normal sales order, which goes to production and leaves with its delivery note and its lot.

It's useful for the counter, a market stall or phone orders, where a salesperson notes down what is asked for. And it's also what your customers see in the customer portal: the store you assign them decides which products they see and at what price.

Before you start

  • Stores are part of the Integral plan. They are set up by the administrator or the manager; salespeople use them to place orders.
  • Your recipes and sale ingredients need their RRP and their VAT: that's what the catalogue shows.
  • Organise your products with families and tags: you'll use them to fill the blocks in one go.

Create a store

Go to Sales › Shops (Store settings) and click Add Store. Fill in the card:

FieldWhat it is for
Store Name and imageHow your salespeople and customers will see it.
EmailThe address the customer can reply to: it appears in their order confirmation email.
Tax address and PhoneThose of the physical shop; the phone number also appears in the confirmation email.
PrefixLetters or numbers in front of each order number, so you know where it comes from.
Send a copy by email to the customer by defaultLeaves the send-a-copy box ticked on every new order. Untick it for internal stores.

  2. 2Add Items: recipes or ingredients, one by one or by family and tag.
  3. 3Each item shows its RRP and its VAT, and can have a visible name different from the internal one.
1

Create the blocks

In Store Blocks, add one per section. You can write some extra information that will appear above the block (“Orders need 48 hours' notice”).

2

Add items

Click Add Items. Choose between Recipes or Ingredients, search by name or filter by family or tag and use Select all. If any were already in the block, they aren't duplicated.

3

Adjust what the customer sees

Change the Visible name and add a description if needed. The price is set by the product record and the customer's price list.

Place an order from a store

  1. Click the Stores icon in the top bar and choose the store.
  2. Tap the products in the catalogue and adjust the quantities. If a product has several sales formats, choose the format.
  3. Choose the Customer (or create one). Next to their name you see whether they pay RRP, wholesale price or a price list, and the prices are recalculated.
  4. Add observations and decide whether to Send copy by email to the customer. Click Save Order, or Save draft if it isn't finished yet.

The order appears in Sales › Orders with its store and its prefixed number, ready to produce and deliver.

Tips

  • One store per channel: “Counter”, “Market”, “Hospitality”. That way each portal customer only sees what is meant for them.
  • Review the catalogue every season: deactivate the Christmas or summer blocks instead of deleting them.
  • Already taking payments at the counter with a POS? We connect Recipok to the POS or invoicing software you already use so sales come through without typing them twice.

Frequently asked questions

Is a store an online shop for any visitor?
No. It is a sales catalogue used by your salespeople and, with the portal switched on, by the customers you invite. It isn’t a website open to the public and it doesn’t take card payments.
Which price applies on a store order?
The price of the customer you choose: next to their name you see whether they pay RRP, wholesale price or one of your price lists. With no customer, the RRP.
What is the prefix for?
It goes in front of the number of every order from that store. That way you can tell at a glance the orders from the counter, the market stall and the portal.
Can I have a store for internal use only?
Yes. Untick Send a copy by email to the customer by default: in an internal store there is no external customer to send the copy to.
