Recipe reports, lists and PDF catalogue

All plans

Everything you can print or export from your recipes: PDF catalogue by family, cost report, lists, Excel, recipe costing report and recipe books.

What it is for

Having your recipes in Recipok is of little use if you can’t get them out again: the list for the bakery, the catalogue for a new customer, the cost report for your accountant or the Excel file for reviewing prices calmly. Recipok prepares all those documents with the data you already have, without copying anything by hand.

This article goes through the recipe reports and printouts: from the recipe, from the Recipes and formulas list, the new PDF catalogue by family, the Recipe costing report and recipe books.

Before you start

  • For costs and margins to come out right, complete the recipe costing and the selling prices.
  • Assign a Family to each recipe (in Recipe data › Advanced data): the catalogue groups by family.
  • The catalogue’s price list columns come from your price lists.

From a recipe: the Print button

OptionWhat you get
Technical SheetThe sheet for customers and inspections. See Technical sheet.
Consumer label, Internal label, Display labelThe product labels. See Consumer label.
Cost reportA PDF with the weight, the cost of each ingredient as an amount and a percentage, staff, overheads by category, the breakdown of nested recipes and the recommended price.
RecipeThe preparation sheet, with ingredients, quantities and instructions.

From Recipes and formulas

Tick the recipes you want with their checkbox. A bar appears with the actions for the selection:

  • Display label: counter labels for the recipes that have a retail price.
  • List: the custom list. You choose the title and subtitle, font type, image, SKU, ingredients (with the Break down nested recipes option), allergens as text, icons or both, and the price and price lists to show.
  • Export: an Excel file with the columns you choose.
  • Technical Sheet, Sheets and Costs: the technical sheets, recipe sheets (preparation sheet) or cost reports for all the selected recipes.
  • Time: assigns the same preparation time to all the selected recipes.
  • PDF catalogue: the catalogue by family (see below).

With nothing selected, the three-dot menu (More actions) offers Export, Import, PDF catalogue and New recipe book.

A sales catalogue (for customers) or an internal one (for your team), with the recipes grouped by family and only the columns you choose.

A catalogue for a café: cakes and viennoiserie, with its price list and no costs.
  1. 1All recipes, only those with a retail price or, if you ticked them beforehand, “Only the selected recipes”.
  2. 2The families included. If you tick tags, only recipes that have one of them are included.
  3. 3Available columns: Reference, Barcode, Yield, Cost, Retail price (incl. VAT), Retail price excl. VAT, Wholesale price, VAT, Margin, Shelf life, Allergens and Tags.
  4. 4One extra column for each price list you tick.
Important

Before sending the catalogue to a customer, untick Cost and Margin. Those columns are for internal use.

The “Recipe costing” report

In Recipes › Recipe costing you have the cost, selling price and profitability of all your recipes in one table. Only the administrator can see it.

  • Columns: recipe, quantity, handling time, weight per unit, unit cost, retail price per unit, Profitability by RRP, desired profitability, recommended retail price, wholesale price and wholesale profitability.
  • Filters: search by name, SKU or tag; priced by (units or kilograms); status (visible or hidden); tags; prices (with a retail price or with a wholesale price) and profitability level (low, medium, high or excellent).
  • Export CSV and Print buttons, and Open recipe on each row.

Use it once a month with the “Low profitability” filter: it is the list of prices that need reviewing.

Recipe books

A recipe book groups recipes under a name, a description and an image: the Christmas menu, the gluten-free recipes, the recipes from a course. Create it with New recipe book in the three-dot menu of Recipes and formulas, save it and add recipes with the search box. Advanced mode adds blocks with a title, description and image.

In My Recipes, the recipe book carousel filters the list by the one you choose. If you switch on Make book public, the recipe book and all its recipes are published in the Chefotheque: Recipok asks you to confirm first.

Frequently asked questions

Can I give the PDF catalogue to a customer?
Yes, that is what it is for. Choose only the columns you want to show: for example Reference, Allergens and the column for their price list, without Cost or Margin.
Why don’t I see “Recipe costing” in the menu?
Only the account administrator can see it, and only if their plan includes recipe costing.
Does the catalogue remember the columns I chose?
Yes. Next time you open it in that browser, the same families, tags, columns and price lists will be ticked.
Can I get the technical sheets or cost reports of many recipes at once?
Yes. In Recipes and formulas, select the recipes and click Technical Sheet, Sheets or Costs in the bar that appears.
