Warehouses, transfers and stock migrations

Integral plan

Check the stock in each warehouse, move lots between locations and send or receive stock from another company that uses Recipok.

What it is for

If you have more than one place where you keep goods (several cold rooms, a freezer, a dry store, the shop), you need to know which lot is in each place and be able to move it without losing track of it. That is what Recipok's warehouses are for.

Here you check stock by location, record transfers between warehouses and, if you work with several companies in Recipok (for example, the bakery and its shops), send stock from one to another with stock migrations, without typing the lots again.

It is used by the manager and the person in charge of the stores.

Before you start

  • Warehouses and transfers are included in the Integral plan.
  • Warehouses are the locations marked as Is storage. Create them with the names your team already uses: “Cold room 1”, “Freezer”, “Dry store”.
  • Set a Default location on each ingredient: it is the one proposed in goods-in entries and when delivery notes are read.

Checking stock by warehouse

Go to Stock management › Warehouses (Manage stock in warehouses). You will see each lot with its code, name, quantity, location and type. Filter by warehouse to find out what is in each cold room. Lots without a location appear as No assigned warehouse.

Moving a lot to another location

1

Change location

On the lot's row, click Change location.

2

Destination and quantity

Choose the new location and the Quantity to move. If you move only part of it, the rest stays where it was as a separate line.

Movements between warehouses

To transfer several lots at once (for example, the morning run from the bakery to the shop's cold room), use Stock management › Stock movement.

The morning transfer: two products from the bakery's cold room to the shop's cold room.

  2. 2The quantity cannot exceed what is available at the origin.
1

Origin and destination

Choose the Origin and Destination warehouses. Recipok loads the stock at the origin, both Raw material and Finished product.

2

Lots and quantities

Tick the lots, search by product or lot, or scan their QR code, and type the quantity of each one.

3

Save

The movement is recorded in Stock management › Movement list (Warehouse movements), with its origin, destination, date and status. From there you can also create one with New movement.

Permissions

As well as managers and administrators, a custom role with permission to create dispatches can also make and view stock movements. See Users and roles.

Stock migrations to another company

A migration sends stock from your company to another company that also uses Recipok: a central bakery supplying its shops, or two companies in the same group. The lots travel with their number and expiry date, so traceability is not broken.

1

Link the customer to its account

In the sending company, open the customer that represents the other company and type its Recipok ID.

2

Make the dispatch as usual

When you record a dispatch or delivery note to that customer, Recipok creates the migration automatically. You will see it in Sent migrations.

3

The other company confirms it

In the receiving company it appears in Stock management › Pending migrations, with the sending company, the document, the date and the products. With Sync migration check the Document information, choose the Location where each product will be stored and click Confirm migration. The goods-in entry is created with its lots.

If the migration is not right, the receiving company can cancel it: no stock is touched.

Tips

  • Few locations, with clear names. Each temperature-controlled location also needs its own HACCP record.
  • To see the stock of a product across all warehouses, use Products in stock.
  • If your shops sell with a POS or invoicing software, we can connect Recipok to it with a custom integration.

Frequently asked questions

A cold room does not appear as a warehouse. Why?
Only locations marked as Is storage in HACCP › Locations count as warehouses. Tick the box and you will be able to store and move stock in it.
Can I move only part of a lot?
Yes. Type the Quantity to move: whatever you do not move stays in the current location as a separate line, with the same lot and the same expiry date.
I have two companies in Recipok (the bakery and the shop). How do I pass stock from one to the other?
In the sending company, the customer that represents the other company must have its Recipok ID. Each dispatch to that customer generates a migration that the other company confirms in Pending migrations.
What happens if I cancel a pending migration?
No stock is touched in the receiving company: stock only comes in when it is confirmed. Cancelling cannot be undone.
