Connect Recipok to the Ágora POS

Enabled on request

Send your bakery stock to each Ágora store as incoming delivery notes, with its products already paired.

What it is for

If your stores work with the Ágora POS, you can send them from Recipok what leaves the bakery: each dispatch to an Ágora store reaches its POS as an incoming delivery note, with the products already paired. That way nobody has to set up the same product again in the store and in the bakery.

It is a custom integration: we activate it for your company when you accept the quote. Here we explain how it is set up and how it is used.

Coming soon

This connection is being prepared for the first stores. What we explain here is what it does. The import of POS sales, which deducts stock from Recipok, is still in development and we do not describe it.

Before you start

  • Each store needs its Ágora with the HTTP API enabled and the computer switched on, with the port reachable from wherever Recipok is.
  • In Ágora, create a series of its own for the incoming delivery notes (for example RCP), so that it does not mix with your purchase delivery notes.
  • Check the names of your products in Recipok: pairing is suggested mainly by name.

Connect a store

In Sales › Shops, open the store’s record and find the Ágora connection panel.

  2. 2Test connection checks that Ágora responds before saving.
1

Enter the address and the key

Ágora address: the one from the Ágora administration, with its port (usually 8984). API key (Api-Token): it is stored encrypted. If it is already saved, leave it as it is; if you change it, type the new one.

2

Test the connection

Click Test connection. If Ágora responds, Connection OK appears with its version. If not, Recipok tells you the reason: that Ágora does not respond at that address or that it rejects the key.

3

Choose the warehouse and the series

Warehouse receiving the stock: the store’s warehouse in Ágora where the goods come in. Series of the incoming delivery notes: the series of its own that you created. If you choose the series of your purchases, Recipok warns you.

4

Save and check the status

Tick Connection active and click Save connection. When Ready to receive stock appears, the store can already receive delivery notes.

Pair the products

Each product in Recipok must match a product in Ágora in that store. In the same panel, click Pair products:

  • Recipok suggests matches by name: Same name or Similar name. Check each one and click Use suggestion, or choose the Ágora product by hand.
  • With Only unpaired you see what is missing. The counter (“X of Y paired”) tells you how many are left.
  • If a product no longer exists in Ágora, it appears as No longer exists in Ágora. Check whether you have discontinued or renamed it there.

Send the stock to the store

In a Recipok dispatch, choose Store (Ágora) as the destination and then the Destination store. When you confirm, Recipok asks whether you want to send the stock now:

  • Confirm and send now: creates the incoming delivery note in the store’s Ágora.
  • Confirm without sending: you send it later from the document, with Send to Ágora.

If any product in the dispatch is not paired in that store, Recipok does not send the document until you have paired them all.

Each document shows its status: Pending sending to Ágora, Sent to Ágora or Error sending to Ágora. If you change something and want to send it again, click Resend to Ágora: if the delivery note was already there, Ágora updates it and the stock is not duplicated.

If something goes wrong

Recipok tells you the exact reason when a delivery does not go out. The most common ones are these:

  • Ágora does not answer: the store’s computer is switched off or the port is closed.
  • Ágora rejects the API key: the key is not valid or the HTTP API is disabled in Ágora.
  • Unpaired product: a product in the dispatch is not paired with that store yet.

Fix the cause and resend the document with Resend to Ágora.

Tips

  • Start with a single store and check one delivery note from start to finish before you connect the others.
  • Use different series in Ágora for Recipok and for your purchases, so that they never mix.
  • Before pairing, check your product names: that way almost all the suggestions will be right.
  • If your invoicing software also receives the dispatches, we explain it in Dispatches and delivery notes with lots.

Frequently asked questions

Can I connect my Ágora POS myself?
We activate the connection for your company when you accept the quote, and we set it up together with the person who installed your Ágora. After that, each store is configured from its record under Sales › Shops.
Is sending stock to a store invoiced?
A transfer to your own store is not invoiced. When you confirm the dispatch, Recipok tells you so on screen before you send it.
Can I hide the workshop cost from the store?
Yes. Tick Hide the workshop cost in the connection and the incoming delivery notes will carry the cost the product already has in Ágora, instead of Recipok’s real cost.
What happens if a delivery was sent by mistake?
Recipok sets the delivery note to zero in Ágora with an offsetting delivery note dated today, so the stock adds up again. If Ágora does not allow it, Recipok tells you so you can check it by hand.
