Sales order for a product without stock
Integral plan
Why you can order a product with no stock, what happens when you deliver it and why a product sometimes doesn’t appear when you create the order.
What it is for
When you create a sales order, Recipok lets you add products even if they have no stock, and marks them in amber. This is intentional: an order is a commitment for the future, and the normal thing in a bakery is to produce what has been ordered. What matters is having the lot when delivery day comes.
Symptom
- When you add a product to the order, it appears in amber with a warning that it has no stock.
- Or the other way round: a product you expected doesn’t appear in the order’s search box.
Causes
- The product has no stock: you haven’t produced it yet or haven’t recorded its goods-in. You can still order it.
- You have the In stock box ticked in the Add product window: then only products with stock are listed.
- If the box is unticked and it still doesn’t appear, the product may not have a sales format or a price set up.
This product has no stock available: you can still order it, but no lot will be assignable when it is delivered.
- 1In stock: tick it to see only what you have in the warehouse.
- 2In amber, products with zero stock.
Solution
Create the order
Add the product even if it is in amber. If you can’t find it, untick In stock.
Produce it before delivery
Create the production order (you can do it from Orders by product, which groups what has been ordered by product). When you complete it, the lot goes into stock.
Deliver with its lot
In Confirm order delivery, Recipok suggests the lot. If the product still has no stock, you can type in the lot, expiry date and quantity by hand, but it won’t be deducted from any lot in the warehouse.
Delivering without a real lot breaks traceability towards your customer. Produce or record the goods-in before delivering whenever you can. More in Sales orders and Stock by lot.
