Move your recipes from Excel or your notebook to Recipok
All plans
The ways to bring into Recipok the recipes you have in Excel, in PDF or handwritten, and the order to follow so you don’t repeat work.
What it is for
Almost every bakery comes to Recipok with its recipes scattered between an Excel file someone made years ago, a few PDFs and a notebook covered in flour. Typing it all in again is the most off-putting part of getting started, and it is what makes many people leave it for “when I have time”.
There is no need to type. In this use case you will see the order that saves you work and the three ways of moving your recipes into Recipok, depending on how you have them today.
Order matters
A recipe is nothing more than ingredients and quantities. If the ingredients are already in Recipok with their price and allergens, every recipe you upload will come out complete: with cost, allergens and nutrition. So:
Suppliers
First, so that ingredients are assigned to their supplier.
Ingredients, all at once
In Ingredients, ⋮ menu, Download template. Copy your list into it: name, unit of measure, price unit, price without VAT and format are required. Save it as CSV and upload it with Import ingredients: you check the preview and map each column. See Import ingredients.
Sub-recipes
Doughs, creams and bases before the products that use them.

Three ways to move your recipes
| How you have them | What to use |
|---|---|
| Each recipe in a document: Excel, PDF, Word or a photo of your notebook | Import with AI: the quickest way for most bakeries. |
| A list of recipes in a spreadsheet, with one row per recipe | Recipes and formulas › Import (CSV, XLSX or XLS, 3 MB maximum), mapping each column to its field. |
| Odd recipes, or ones you want to review thoroughly | By hand, from I'd rather create it by hand from scratch. |
Upload it as a PDF, Excel, Word file or a photo.

Create recipe
- 1One document, one recipe. It uses one scan, which is refunded if the document can’t be read.
- 2Anything not in your catalogue will be created as a new ingredient when you confirm. Anything already there is matched automatically.
From a document, step by step
- Click New recipe. In the Create recipe or formula window, choose the file and click Import with AI.
- It can take up to a minute; you can close the window and Recipok will let you know when it has finished.
- Check the name, ingredients and quantities. If the document contained several preparations, Recipok builds one and tells you which others it has seen so you can upload them separately.
- Click Create recipe and, in the editor, complete the handling time and the selling price.
We explain it in detail in Create recipes from a document. How many readings your plan includes is in Document reading.
Automatic reading is fast, but not infallible: a blurry figure in a photo or an abbreviation in your notebook can be misread. Check quantities and units before confirming, especially in recipes you are going to label.
Tips for your Excel file
- Tidy it up first: duplicate names (“T45 flour” and “flour t-45”), mixed units and prices with and without VAT in the same column. In Recipok, prices go without VAT.
- One recipe per document: if your Excel file has one tab per recipe, save each one separately.
- PDF or Excel is better than a photo. If you take a photo, keep it flat, well lit and complete.
- Start with your 20 best-selling recipes. The rest, little by little.
Create your free account and upload your best-selling recipe exactly as you have it today, in Excel or as a photo. In a couple of minutes you will see it with its cost and allergens.
